Booking and Payments Policy

Our commitment

At Ahikāroa Māori Wellbeing Collective, we aim to make booking and payment clear, fair and

respectful. This policy applies to our one-to-one appointments, koha-based Hauora clinics,

wānanga, workshops and group events. Product purchases are covered by the terms provided

through our shop.

Our approach is grounded in Whakapapa, Hauora, Whānau and Rangatiratanga. We honour our

connections to tūpuna, protect each person’s mana, respond with care to whānau circumstances

and remain accountable for the bookings and payments entrusted to us.

Booking processes

Making a booking

Book through the booking link on our website or contact Ahikāroa using our website contact form. We can help if you need support to use the booking system or discuss accessibility, a support person or another arrangement.

Before you book, we will make the service, duration, location or online format, price and any specific requirements available to you. Your booking is confirmed when you receive confirmation from Ahikāroa or our booking system. Please check the details and let us know promptly if anything is incorrect.

Appointment times use the local time at the service location. For online appointments, check the time zone shown in your confirmation. If you do not receive confirmation, please contact us before attending.

If you book or pay for someone else, please ensure they agree to the booking. Paying for a service does not give you access to that person’s private service or health information.

Prices and payment

One-to-one appointments are paid at the appointment unless we agree another arrangement with you beforehand. Any event deposit or advance payment requirement will be shown before you book.

Prices are in Australian dollars and include any applicable GST and unavoidable charges. We will confirm the price before you commit. A later price change will not change the price of an existing confirmed booking unless you agree to a change in the service.

Available payment methods will be shown in the booking information or confirmed by our team. Please use only the payment link or business payment details provided by Ahikāroa. We do not add a card-payment surcharge.

We provide receipts for paid services and can provide a receipt for monetary koha on request. All payments and monetary koha, including cash, are recorded. Please do not send card details through email, messages or our website contact form.

Koha Based Hauora Clinics

Where a clinic is advertised as koha-based, koha is a voluntary contribution offered in appreciation and reciprocity. Any suggested amount is guidance only. Your ability to offer koha does not determine your access to a koha-based clinic. Please book where bookings are required and tell us if you cannot attend so we can offer the place to someone else. A service with a compulsory price will be clearly described as a paid service.

If Ahikāroa changes or cancels a booking

If we need to cancel or make a significant change to your appointment or event, we will contact you as soon as possible. We will explain the available alternatives.

If we cannot provide the paid service as agreed, you may choose an available alternative or a full refund of the amount paid for the service not provided. You do not have to accept a credit. We will not charge you a cancellation fee for a booking we cancel.

Wānanga workshops and group events

Each event listing will explain its price, inclusions, payment due date and any minimum participant requirement. Any special cancellation deadline, transfer rule or cancellation charge will be made available before you book.

If no separate event cancellation terms are provided, you may cancel with at least 24 hours’ notice and receive a refund of prepaid fees, or transfer to another available date by agreement.

No automatic late-cancellation or no-show charge applies under the default terms; prepaid fees will be refunded if no service is supplied.

Any event-specific cancellation charge must be disclosed before booking and reflect reasonable loss, taking account of costs avoided and whether your place is filled. Please contact us before transferring a place to another person.

Contact us through our website contact form or the contact details in your booking confirmation to request a refund or report an incorrect or duplicate payment. Please include your name, booking date and booking or payment reference if available.

Do not include card details. We aim to initiate agreed refunds within five business days, usually to the original payment method. Your bank or payment provider may take additional time to make the funds available. We will confirm the outcome and explain any lawful deduction. Nothing in this policy limits your rights under the Australian Consumer Law.

Where those rights entitle you to a refund or another remedy, they apply regardless of our cancellation terms.

If payment is difficult, please speak with us before your appointment. We will discuss whether another payment arrangement or a koha-based clinic is available. Any alternative arrangement must be agreed in advance.

Refunds and payment concerns

Privacy and complaints

We use booking and payment information to arrange your service, confirm attendance, process payments and maintain required records. Access is limited to authorised people who need the information for their role. Please refer to our Privacy and Confidentiality Policy for more information.

You can question a payment or booking decision without affecting how respectfully you are treated. Contact us through our website contact form or your booking confirmation contact details. We aim to acknowledge concerns within five business days and provide a response within 30 calendar days. If we need longer, we will explain why and keep you updated.

If your concern remains unresolved, you can seek guidance from Consumer Affairs Victoria.

Policy updates

We review this policy annually and when our services, payment arrangements or relevant requirements change. The terms provided when you make a booking apply to that booking, subject to your legal rights.

Updated terms apply to future bookings.
